Managing Users (Organization)
Organization-level user management is where you control who has access to your Mod AI platform. From here, you can invite new users, view everyone across all entities, and remove users entirely.
Only the Primary Admin can manage organization-level users.
Organization vs. Entity Users
Mod AI has two layers of user management:
- Organization-level -- Every user in your platform exists at the organization level first. Here, they are assigned a primary role: Admin or User. This determines their base access to the platform.
- Entity-level -- Users are then added to specific entities (companies) and assigned a company role: Admin, Manager, Approver, Clerk, or Auditor. A user can have different roles in different entities.
Think of it this way: the organization is the front door, and entities are the rooms inside. A user must be invited to the organization before they can be added to any entity.
Inviting Users
To invite a new user to your organization:
- Go to Organization Settings and select the Users tab.
- Click Invite User.
- Enter the person's email address.
- Assign a primary role:
- Admin -- Can access organization settings and manage other users.
- User -- Standard access. Must be added to specific entities to access data.
- Click Send Invitation.
The invited user will receive an email with a link to set up their account. Once they accept the invitation and create their password, they can log in. See Accepting an Invitation for what the new user sees.
After inviting a user to the organization, remember to add them to the appropriate entities so they can access invoices and other data. See Managing Users (Entity).
Viewing All Users
The organization users list shows every user in your platform in one place. You can see:
- Name and email
- Primary role (Admin or User)
- Status (Active, Invited, Deactivated)
- Which entities they belong to
Removing Users
To remove a user from your organization:
- Go to Organization Settings and select the Users tab.
- Find the user you want to remove.
- Click on the user, then select Remove.
- Confirm the removal.
Removing a user from the organization removes them from ALL entities. They will lose access to every company in your platform. To remove a user from just one entity, use entity user management instead.
